How do I add my VAT number?
Short answerOpen Account in your dashboard, choose Business under "Personal or business", fill in your company name, country and VAT number and press "Save business details". We check the number with the European register, and your next invoice carries it.
Add your business details
Log in and open Account in the menu of your dashboard.
Under "Personal or business", choose Business.
Fill in the company name, the country the company is in and the VAT number. The Chamber of Commerce number is optional and has no effect on the VAT.
Press "Save business details". A line under the field tells you whether the European register confirmed the number.
What the business details form tells you
| What it says | What it means and what to do |
|---|---|
Business details saved. | Your company name, country and VAT number are stored on the account. The line about the European register under the field tells you whether the number itself checked out. |
Could not save the business details. | Usually a VAT number in a format that does not fit the country you picked. Check the country first, then the number, including the two letter country code at the start. |
Required for a business in the EU. We check the format here and the number itself with the European register. | Two checks happen. The form checks that the number looks right for your country; the European register then says whether the number is real and active. |
What the check tells you
"VAT number confirmed by the European register" means you are done.
"The European register has not answered yet" means the register is slow; we keep checking by ourselves.
"The European register does not know this number" means there is a typo or the number is not active. Check it, because the invoice depends on it.
Outside the EU
A business outside the EU usually has no VAT number. Leave the field empty if you do not have one.
What changes on the invoice
Our prices include VAT. For a private customer, and for a business in the Netherlands, the invoice shows the VAT that is inside the price. For a business in another EU country whose number the European register confirmed, the VAT is reverse charged: the invoice carries your VAT number and no Dutch VAT, and you account for it in your own country.
Outside the EU no European VAT is charged on the invoice at all, with or without a number.
The Chamber of Commerce number
The optional field for a Chamber of Commerce number appears for a company in the Netherlands. It is eight digits, it is not required, and it has no effect on the VAT; only the VAT number does that.
Do it before you order
The invoice is made at the moment you pay. If the business details are on your account before you place the order, the very first invoice is right. You can switch the account to Business at any time on the Account page, also before you have a server.
Questions people also ask
Can you change an invoice I already received?
Invoices that already exist stay as they are. Add the details before the next billing date and every invoice from then on carries them.
My VAT number is valid but the register does not know it.
A number that was only just issued can take a while to appear in the European register. We keep checking by ourselves, and the line under the field changes once the register confirms it.
Can I switch back to personal?
Yes. Choose Personal under "Personal or business" and save. From the next invoice on, no company details are printed.
